How to Share Responses Without Giving Someone Edit Access

Let Someone See Responses, Not Change Your Form

Your private responses link gives full control of the form, and sharing a form with a collaborator makes them an editor. Often you just want a helper, like a parent volunteer or a co-organizer, to work with the signups: check who is coming, pull a list, print a roster. A view-only link does that.

It opens your full responses page, with every view, download and AI Analyze, but none of the actions that change the form or reach your respondents. Nobody can edit the form, change settings, delete a signup or email everyone by accident.

Step 1: Open your form's options

From your Dashboard, click Options on the form's card.

Step 2: Create the link

In the Private Responses Link section, under the "Keep this link private" note, click Share responses without edit access to open it, then click Create a view-only link.

You can also do this from the responses page: click Responses on the form's card, then the share icon next to the printer icon on your form's card of responses.

Step 3: Copy it and send it

Click the copy button next to the link, then paste it into an email or message. The same link works for everyone you send it to, and the page updates as new people sign up.

What the other person sees

• Your responses page: every response by option and by submission, with names, email addresses, comments and answers to your additional questions.
• The activity log, showing who signed up, changed or was removed, and when.
• Downloads: CSV and Excel, plus Print to print or save a PDF.
• AI Analyze, including your saved prompts, so they can make their own lists and summaries.
• A View only label at the top.

What they don't get: the Edit and Options pages, the delete buttons, messaging, manual entry, note replies, or saving and scheduling AI prompts. Those stay with you.

Because it shows email addresses and comments, treat it like the private link: send it to the people who need it, not a public page.

Free forms over 30 responses

The view-only link follows the same 30-response limit as your own responses page. Once a free form passes 30 responses, the link shows the upgrade page instead of the responses, and downloads and print stop too, until the form is upgraded.

How to stop someone seeing it

Open the same place you created it and click Create a new link. The old link stops working straight away, and anyone who still needs access gets the new one. There is no limit on how often you can do this.

What this is not

• Not the same as Public Responses. That setting shows respondents who else signed up for each option on your form itself. See sharing public results.
• Not a collaborator. Collaborators can edit the form, and you add them by email. This link gives no editing at all.
• Not a login. Anyone with the link can open it, so share it the way you would a private document.
