How to Share Responses Without Giving Someone Edit Access

Create a view-only link so a colleague can see who signed up and their answers, without being able to edit your form, change settings, or delete responses.

Let Someone See Responses, Not Change Your Form

Your private responses link gives full control of the form, and sharing a form with a collaborator makes them an editor. When you just want one or two people to see who signed up, use a view-only link instead. It opens a read-only page with every response, and it cannot be used to edit the form, change settings, message people or delete anything.

Step 1: Open your form's options

From your Dashboard, click Options on the form's card.

Step 2: Create the link

In the Private Responses Link section, under the "Keep this link private" note, click Share responses without edit access to open it, then click Create a view-only link.

You can also do this from the responses page: click Responses on the form's card, then the share icon next to the printer icon on your form's card of responses.

Step 3: Copy it and send it

Click the copy button next to the link, then paste it into an email or message. The same link works for everyone you send it to, and the page updates as new people sign up.

What the other person sees

  • Every response grouped by option, with names, email addresses, comments and answers to your additional questions.
  • Totals at the top: responses, slots taken, and options with responses.
  • A Print button, so they can print it or save a PDF.
  • A note at the top saying the page is view only and shared by the form owner.

Because it shows email addresses and comments, treat it like the private link: send it to the people who need it, not a public page.

How to stop someone seeing it

Open the same place you created it and click Create a new link. The old link stops working straight away, and anyone who still needs access gets the new one. There is no limit on how often you can do this.

What this is not

  • Not the same as Public Responses. That setting shows respondents who else signed up for each option on your form itself. See sharing public results.
  • Not a collaborator. Collaborators can edit the form, and you add them by email. This link gives no editing at all.
  • Not a login. Anyone with the link can open it, so share it the way you would a private document.
