Save and Schedule AI Analyze Prompts

Boost feature. If you find yourself running the same AI Analyze prompt over and over (a weekly check-in list, a monthly volunteer roster), you can save it directly to the form. Saved prompts are one-click reusable by you and anyone with form access. Optionally, schedule one to email a fresh, on-demand report to specific recipients every week or month.

SAVE A PROMPT FOR REUSE

Step 1: Run the prompt you want to save

Go to the Dashboard, click Responses on your form's card, then click AI Analyze above the response list. Type your prompt and click Generate. (See the AI Analyze guide if you're new to this.)

Step 2: Click Save Prompt on the result

When the formatted result appears, click Save Prompt in the top right of the result panel (next to Edit Request, CSV, and Print).

Step 3: Name and save it

An inline panel appears at the top of the result. The name field is empty by default; type a short name like Weekly check-in list or Monthly volunteer roster. The exact prompt text being saved is shown below the name field so you can confirm what gets stored. Click Save.


USE OR DELETE A SAVED PROMPT

Step 1: Open AI Analyze

From the Responses page, click AI Analyze. The dialog opens and at the top you'll see a Saved prompts section with a teal chip for each saved prompt.

Step 2: Click a chip to use it

Click the prompt name on the chip. The full prompt text is injected into the textarea so you can edit it, copy it, or run it as-is. Click Generate to run.

Step 3: Delete with the × icon

To remove a saved prompt, click the small × on the right side of the chip and confirm. Anyone with form access can delete a saved prompt (matches existing form-edit permissions).


SCHEDULE A SAVED PROMPT

Step 1: Open the schedule panel

In the Saved prompts section, click the small clock icon between the prompt name and the × on the chip you want to schedule. An inline schedule panel slides in below the chip row.

Step 2: Pick the cadence and time

Set the controls:

  • Cadence: Weekly or Monthly
  • Day of week / Day of month: when in the cycle to fire
  • Hour (local): what time to send (whole hours only, e.g. 9:00 AM)
  • Timezone: defaults to your browser's timezone; change it if recipients are elsewhere

A live preview line shows the next send time as you adjust the controls.

Step 3: Add recipients

In the Recipients (up to 5) section, type an email and click Add (or hit Enter). Each address appears as a removable chip. You're not auto-included; add yourself if you want to receive the email too.

Step 4: Save the schedule

Click Save schedule. The chip turns a slightly darker teal and the clock icon switches to solid to indicate "scheduled."

Step 5: Edit or turn it off later

Click the solid clock icon again to reopen the panel. Adjust any field and Save, or click Turn off to disable the schedule while keeping the saved prompt itself.


SEND A TEST EMAIL

Before relying on a schedule, click Send test in the schedule panel. A one-off email goes immediately to the first recipient on your list so you can preview exactly what the scheduled email will look like.

Test sends are rate-limited to 5 per day to keep things tidy during setup. If you hit the limit, you'll see a friendly error and can try again the next day.


GOOD TO KNOW

  • How the email works. The email contains a View Your Report button. Clicking it opens the responses page and automatically runs the prompt on the latest data, so the report is always current at view time. The AI call happens in the recipient's browser, not on a stored snapshot.
  • Recipients see the responses page. The deeplink uses the form's creator URL, so anyone with the email can see the full responses (not just the AI output). Only share with people you'd otherwise give response access to.
  • Limits per form. Up to 10 saved prompts per form. Up to 5 recipients per schedule.
  • Timing precision. Sends fire within a few minutes of the scheduled hour. The hourly cron lands at the top of each hour; a small early-fire buffer makes sure schedules never slip to the next hour.
  • If you lose Boost. Active schedules pause automatically and you get an email explaining how to re-enable them. Saved prompts themselves are kept (not deleted).
  • Free users. The Save Prompt button and the schedule clock icon are visible but locked. Clicking them opens a coral Boost upsell. Upgrade to Boost to use them.
